What is Information Management?
Somewhere in your office you have a file folder for every job, tenant, subcontractor, customer, etc. Those files include important letters, contracts, documents, blue prints, phone numbers, contacts and more. Colonial Systems believes those file folders belong on your computer, where they are accessible to all users, whether they are in the office, dialing in from a job site or checking in from home or a hotel.

Document Management
Documents can be attached directly to the job, tenant, vendor or customer to which they belong. When you pull up a job, tenant, customer, vendor, etc. in the system you can access the documents with the click of a button. The documents are subject sensitive so when you pull up a specific vendor you only see the documents that apply to that vendor. Spreadsheets can also be stored as attached documents.

Imaging
Images are stored in the same manner as documents and spreadsheets. Whether it’s a contract, lease, blueprint, fax, picture or any other type of image, it doesn’t matter. Access the tenant or the job and then access all images that have been indexed there.

Notes
Notes provides you with a central location where you can add freeform information and attach it to any record in the system. Notes are accessible by all system users. Of course, the system provides a place to store personal notes which can be viewed only by the individual who entered it. The system allows you to organize your notes by user-defined topics.


Ticklers
Ticklers provides a central location where you can attach date-sensitive notes to any record in the system. You can send ticklers to yourself, another user, or all users. Each time you login to Colonial Systems, your uncompleted ticklers for the day will be displayed.


Contacts
Contacts is an integrated management feature that provides an on demand method of recording business contacts. This utility provides a centralized rolodex of contact information integrated into the Colonial System accounting package.


Query By Example
This is the most efficient method to find information in your computer. Query By Example allows you to easily find customers, vendors, prospects, jobs, etc. that have been entered into your system. This utility can be used anywhere in the system, and allows you to search on what you know.


Drill Down
Drilling Down for the detail behind the information you are currently viewing is no longer an option you can do without. When viewing a customer or tenant, find current receivables. When viewing a subcontractor, vendor or job, find the current payables. The possibilities for drill down are endless. Colonial Systems provides you the flexibility to determine what you need to in a drill down.
